Mindwell Therapy PLLC stores phone numbers securely in IntakeQ, our Electronic Health Records (EHR) system. These phone numbers are used solely for the purpose of communication regarding your therapy services. We do not save phone numbers on any personal devices. All phone communications are conducted through Telzio, a HIPAA-compliant service.

3. Data Use

We use the collected data to:

  • Facilitate phone and text communication with clients regarding therapy sessions.

  • Send appointment reminders via our EHR system, IntakeQ, either through SMS or email.

  • Ensure compliance with legal and regulatory requirements.

4. Consent and Opt-In Process

  • Clients must explicitly opt in to receive SMS messages by messaging YES to our number (817-618-1989).

  • Clients can opt out at any time by replying STOP to cease further messages.

  • For assistance, clients can message HELP or contact us directly via info@mindwelltherapy.org.

  • Clients are informed that "Message and data rates may apply," "Message frequency may vary," and they can "text HELP for support or more information and STOP to unsubscribe at any time."

  • Consent to receive text messages is not a condition for receiving therapy services.

5. Data Sharing

We do not share your personal information with third parties, except in the following circumstances:

  • When required by law or legal process (e.g., subpoenas, court orders).

  • With service providers who assist in delivering our services, such as Telzio and IntakeQ, under strict confidentiality agreements and HIPAA compliance.

  • Phone numbers are stored securely in IntakeQ (our EHR) and are not saved on any personal phones or external devices.

  • While we take extensive security precautions, no method of data transmission is 100% secure, and we cannot guarantee absolute security.

  • Phone numbers and communication logs are stored in our EHR (IntakeQ) for record-keeping purposes.

  • Once no longer needed, data is securely deleted following HIPAA guidelines.
